Privacy Policy

Last updated: 18 August 2026

The Fluency Code ("we", "us", "our") is committed to protecting your privacy. This policy explains what personal information we collect, how we use it, and the rights you have over it, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who we are

The Fluency Code is a private English fluency coaching service operated by Fluency Code Ltd, a company registered in the United Kingdom. For any privacy-related queries, contact us at support@fluencycode.com.

2. Information we collect

We collect information you provide directly to us, including:

  • Your name and email address, when you submit an application through our website.
  • Your name, email address, and time zone, when you book a call using our scheduling tool.
  • Any additional information you choose to share with us during a call, in an email, or during coaching sessions.

We do not knowingly collect payment card details through our website. Payment arrangements, where applicable, are handled separately and are not processed or stored by this website.

3. How we use your information

We use the information we collect to:

  • Review and respond to your application.
  • Schedule and conduct coaching calls and sessions.
  • Communicate with you about our programme, including follow-ups after your free call.
  • Improve our website and services.

4. Legal basis for processing

We process your personal data on the basis of your consent (when you submit an application or book a call) and, where you become a client, to take steps to enter into and perform a contract with you.

5. Third-party services we use

We use trusted third-party services to operate our website and business:

  • Calendly — handles call scheduling and booking.
  • Netlify — hosts our website.
  • Google Fonts — loads the typefaces used on our site.

These providers may process your data outside the UK/EEA under their own privacy policies. We only work with providers who maintain appropriate safeguards for your data.

6. Data retention

We retain personal information for as long as necessary to fulfil the purposes described in this policy, including to maintain business records, respond to enquiries, and comply with legal obligations. If your application is unsuccessful or you do not proceed with coaching, we will retain your details for a reasonable period before deleting them, unless you ask us to delete them sooner.

7. Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your data.
  • Object to or restrict certain processing.
  • Withdraw consent at any time, where processing is based on consent.

To exercise any of these rights, contact us at support@fluencycode.com. You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk.

8. Cookies

Our website does not use tracking or advertising cookies. Third-party services embedded on our site (such as Calendly) may set their own cookies in accordance with their own privacy policies.

9. Children's privacy

Our services are intended for professional adults. We do not knowingly collect personal information from anyone under the age of 18.
